When you need a passport translation

You will usually need a certified passport translation in any situation where an official body must read a passport that is not in their language. Common reasons include: 

  • UK visa and immigration applications (UKVI) where your passport is not in English.

  • Settlement, residency, indefinite leave to remain, or citizenship applications.

  • University and college enrolment, including supporting documents for UCAS.

  • Opening a UK bank account or completing financial compliance checks.

Which pages of the passport do we translate?

Most authorities only need the main photo and identity page, which carries your name, date of birth, nationality, passport number and issue and expiry dates. Some applications also require visa pages, entry and exit stamps, or the observations page. If you are not certain which pages are needed, tell us who is requesting the translation and we will advise you. Because a passport is a short document, it is one of the quickest
and most affordable items to translate and certify, which is why a same-day turnaround is often possible.

Certified, notarised or legalised — which level do youneed?

A passport translation can be certified at three levels, and the right one depends entirely on who is asking for it:

Certified: a signed statement of accuracy. This is accepted by most UK bodies, including the Home Office, UKVI, universities and banks.

Notarised: our in-house notary adds a notarial certificate confirming the certification. This is sometimes required by overseas authorities or for certain legal processes.

Legalised (Apostille): an apostille from the FCDO, required when the document is used officially in another Hague Convention country.

A passport is a short document, so it is one of the fastest items we translate. Most certified passport translations are completed within 1 to 2 working days, and same-day delivery is often possible when you order early and the file is clear. Turnaround depends on the language, the number of pages you need translated, and the certification level you choose. Notarised or apostilled passports take a little longer because of the extra certification step. The quickest way to get an exact timeline is to upload your passport to our quote tool, which returns a turnaround time along with the price.

It depends on who is requesting the translation. For most UK applications, such as those to the Home Office, UKVI, a university or a bank, a standard certified translation with a signed statement of accuracy is accepted. Some overseas authorities, or certain legal processes, ask for a notarised translation, where our in-house notary adds a notarial certificate. If your passport translation is being used officially in another country, you may also need an apostille from the FCDO. When you request a quote, we tell you exactly which level your authority requires, so you do not over-certify.

In almost all cases we only need a clear scan or photograph of the relevant passport pages, which you can upload through our quote tool or send by email. You usually do not need to post us your physical passport. Make sure the photo or scan is well lit and that all four corners and the full data page are visible, as this avoids delays. If your translation needs an apostille, we will let you know whether the original or a certified copy is required for that specific step, and guide you through it.

You will receive your certified passport translation as a PDF by email, and we also post a signed and stamped hard copy, since many authorities require a physical certified document with original stamps. Email copies are convenient for checking the translation, but they are not always valid for official submission, so we include the posted hard copy by default. We use secure, tracked postage for certified documents. If you need same-day collection from one of our offices, or express courier delivery, just let us know when you order.

The price is based on the number of words in the pages you need translated and the level of certification you choose. Because a passport's data page contains very few words, certified passport translations start from £33, which makes them one of our most affordable documents. Adding notarisation or an apostille increases the price because of the extra steps and official fees involved. There are no hidden charges. Each translation carries a signed statement of accuracy confirming it is a true and complete translation of your passport, which is what UKVI requires for supporting documents that are not in English. If you tell us which application you are making when you request a quote, we will confirm the exact format and certification level UKVI expects, so your document is right first time.
